This request is for the addition of a Team Leader role within the Collaboration and Voice Services department. The position is intended to provide dedicated administrative leadership and operational support for the technical teams in this IT function. To fulfill this objective, the role's responsibilities are structured around three core areas: leading and supervising a team of para-professional administrative staff, managing the department's core administrative and operational support functions, and coordinating financial and procurement activities. These areas ensure that the technical teams receive efficient and organized background support. Given the focus on team supervision and administrative coordination, the ideal candidate will possess proven experience in leading administrative teams, managing office workflows, and handling budget and procurement tasks. Experience within a corporate technology environment would be a significant advantage.
What You Need To Make a Difference
- 40% Team Leadership & Performance Management
- Set day-to-day operational objectives and manage the workload for a team of administrative support staff.
- Supervise, guide, and mentor para-professional employees, ensuring adherence to company policies and procedures.
- Conduct performance reviews, provide regular feedback, and support the professional development of direct reports.
- Ensure team service levels are met in supporting the broader Collaboration and Voice Services department.
- 40% Administrative & Operational Coordination
- Oversee the coordination of departmental meetings, complex travel arrangements, and internal events.
- Manage departmental documentation, including digital and physical record keeping, filing systems, and the preparation of routine reports.
- Serve as the primary point of contact for administrative inquiries and process improvements within the department.
- Ensure office procedures are efficient and followed by the administrative team.
- 20% Financial & Procurement Support
- Coordinate the procurement process for office supplies, software licenses, and other departmental needs in alignment with budget.
- Assist with departmental budget tracking, process invoices, and manage accounts payable and expense reports.
- Liaise with finance and supply chain departments to ensure compliance and timely processing of financial transactions.
Education
- Vocational degree or equivalent certification in Business Administration, Office Management, or a related field is preferred.
- Proven experience in a senior administrative or office management capacity.
- Demonstrated experience in leading or supervising a team of administrative or para-professional staff.
- Experience working within a corporate IT or technology-focused department is highly desirable.
