This role is established to provide dedicated team leadership for the General Office Administration and Secretarial function in Latvia, ensuring business continuity and operational stability. As a Team Leader (M1), this position will formalize the supervision of the para-professional administrative team, addressing a need for structured day-to-day management and process oversight within the European region. To achieve these objectives, the role is structured around three core areas of responsibility. These include direct Team Leadership and Development to guide the administrative staff, comprehensive management of Administrative and Office Operations to ensure efficiency, and coordination of essential Resources and Vendors to support daily business activities. This structure ensures all facets of office administration are effectively managed and aligned with organizational standards. Given the focus on supervision and operational execution, the ideal candidate will possess demonstrated experience in leading administrative teams. Essential requirements include strong capabilities in workflow management, office procedures, and resource coordination. A vocational qualification in a relevant field is required, with a preference for candidates who have experience improving administrative processes and managing office budgets.

- 40% Team Leadership & Performance Management
- Monitor team performance, provide regular feedback, and conduct informal coaching to ensure service quality and adherence to standards.
- Supervise a team of para-professional administrative staff, setting clear day-to-day operational objectives.
- Manage team schedules, delegate administrative tasks, and serve as the first point of contact for operational escalations.
- Ensure all direct reports understand and follow company policies, practices, and procedures.
- 40% Administrative & Office Operations Management
- Oversee core administrative functions including reception, mailroom services, document management, and general clerical support.
- Ensure office facilities are well-maintained, safe, and organized in collaboration with facilities management.
- Manage and optimize administrative workflows to enhance efficiency and service delivery across the office.
- Coordinate the planning and execution of internal office events and meetings.
- 20% Resource & Vendor Coordination
- Manage the inventory of office supplies, including overseeing the procurement process and tracking expenditures against the budget.
- Serve as the primary contact for external vendors related to office services, such as cleaning, maintenance, and catering.
- Process and maintain records for invoices, expense reports, and purchase orders related to office administration.
